Create reviews from layouts

A layout is a reusable document structure: the sections, tables, charts and instructions for a review you run repeatedly, such as a monthly business review or a weekly engineering sync. You find layouts in the Library under the Layouts toggle, create a document from one with Use this layout, and let the Rhythms assistant fill it with live data from your OKRs and connectors. Rhythms ships six system layouts and you can build your own.
Layouts and documents
A layout is the template; a document is one instance created from it, holding real data as of a point in time. Documents created from a layout are fully editable and can be shared, exported and set to refresh automatically like any other document. Each layout also carries instructions that tell the assistant how to populate its sections; documents created from the layout inherit those instructions, which is what makes an auto-refresh of the document regenerate the right content.
System layouts
Every workspace starts with six layouts created by Rhythms. Open the Library, switch the toggle from Documents to Layouts, and you will see them alongside any layouts your teammates have created:
- MBR: a monthly business review of company-level goal health, wins, risks and outlook.
- Weekly Engineering Team Sync: sprint progress, blockers and engineering metrics.
- Customer Support Health Dashboard: support volume, response and resolution trends.
- Sales Pipeline Review: pipeline coverage, stage movement and forecast.
- Project Portfolio Status: status across a portfolio of projects.
- Marketing Campaign Performance: campaign results against targets.
Each layout tile shows who created it and how many documents have been created from it. Click that count to open the Documents list filtered to those documents.
Create a document from a layout
- Open the Library from the left navigation and switch to Layouts.
- Click a layout to preview it. A banner reminds you that you are previewing a layout and that documents created from it are fully customizable.
- Click Use this layout in the header.
- A chat opens. The assistant explains what the layout is for, suggests which OKRs, teams, time periods or connectors could populate it, and asks what you want to include.
- Confirm your choices. The assistant creates the document in your Library and fills each section with current data.
You can also start from Documents › Create a document › AI assisted and describe what you need ("a sales pipeline review for Q3"). The assistant searches your layouts, and if one matches it previews the layout's sections and asks whether to use it before building. If you name a layout ("use the MBR layout") it goes straight to gathering data.
Create a document without a layout
In the Library, click Create a document and choose AI assisted to design the document in a conversation, or Blank document to start from an empty page and build it yourself. If no layout matches your request, the assistant proposes sections directly based on your OKRs and knowledge in the workspace.
Create your own layout
- In the Library, switch to Layouts and click Create a layout.
- Choose AI assisted to describe the recurring document the layout is for and let the assistant design the sections, or Blank layout to build it yourself in the editor.
- Give the layout a clear name (for example "Monthly Product Review") and save. It appears under Layouts for everyone in the workspace who can see it.
You can also ask the assistant while working on any document to "make this a layout" so its structure becomes reusable. Rhythms Admins can deactivate or delete layouts under Settings › Document Layouts.
Keep a review current
Documents created from a layout can refresh themselves on a schedule. Click the auto-refresh pill at the top of the document, choose Manage auto-refresh, and tell the assistant how often to refresh, or whether to create a fresh copy each period for a monthly or weekly review. Share and export a review
- Share the document with people, teams or the whole workspace from the Share button.
- Export it as Word or PowerPoint from ⋯ › Export to Word or ⋯ › Export to PowerPoint; see Export a document to Word, PDF or PowerPoint.
Frequently asked questions
Can I edit a document created from a layout? Yes. It is a normal document. If it auto-refreshes, the next refresh regenerates the content, so ask the assistant to adjust the document's instructions when you want a change to stick.
Can I share a layout with my team? Layouts appear in the Library's Layouts view, so teammates can browse them there. Filter the view with the Layouts created by me and Layouts shared with me tabs.
How do I find all the documents created from one layout? Click the document count on the layout tile, or use the Layout filter in the Documents view.
Can I create a review without a layout? Yes. Use Create a document › Blank document, or describe the review in chat and let the assistant draft it.
