Grant Document Access from an @Mention

When you @mention a teammate who doesn't have access to the document you're working in, Rhythms shows a Grant view access button right next to the mention. One click gives them access — you don't have to open the Share modal, look up their name, or leave the document. This keeps collaboration moving when you pull someone into a doc they can't yet see.

When to use this

Use this when you're mentioning a colleague in a document and want to be sure they can actually open it. If the person is already a workspace member but isn't on the document's share list, the inline Grant view access button appears so you can fix it in the moment — no context switching.

Grant access from a mention

  1. In the document, @mention the teammate you want to reference.
  2. If they don't currently have access to the document, a Grant view access button appears inline next to the mention.
  3. Click Grant view access.
  4. The teammate is added with view access and notified that the document was shared with them.

That's it — the mention stays in place and the person can now open the document.

How this differs from inviting a new user

These two @mention actions look similar but do different things:

What access level does Grant view access give? View access to that single document. To grant edit access or manage sharing more broadly, open the Share modal from the document.

Does the person get notified? Yes. They receive a notification that the document was shared with them, with a link to open it.

The button didn't appear — why? The button only shows when the mentioned person is a workspace member who lacks access to that document. If they already have access, there's nothing to grant. If the mention is an email that isn't a member yet, you'll see an invite option instead.

Can I remove access later? Yes. Open the Share modal from the document to adjust or remove anyone's access at any time.
