Rhythms connects with Monday.com to automatically track item progress in your OKRs. Once connected, Rhythms pulls the latest data from your Monday.com boards, keeping your Key Results and Initiatives up to date without manual check-ins.
New to auto-updates? The How to Set Up Auto-Updates article covers the complete setup workflow, OAuth security, and what auto-updates can and can't do.
What You'll Connect
When you set up the Monday.com integration, Rhythms AI helps you locate and configure tracking for:
Monday.com boards organized by team, project, or workflow
Item completion based on whether items are marked complete or in done status
Column values for tracking numeric progress, percentages, or custom metrics
The setup conversation guides you through finding relevant boards and selecting the right tracking approach for your goal.
Before You Connect
Workspace Administrator Setup
Your workspace administrator needs to enable the Monday.com integration before you can connect. See Enable Integrations for Your Workspace for workspace-level setup instructions.
β οΈ The Monday.com integration requires your workspace to have MCP integrations enabled. If you don't see Monday.com as an option when setting up auto-updates, ask your workspace administrator to enable it.
Monday.com Administrator Approval
Your Monday.com workspace administrator must install the Monday MCP App before individual users can connect:
Step 1: Share this link with your Monday.com admin
Step 2: Your admin will:
Sign in and review permissions (read boards, items, and workspaces)
Click "Install" to add the app
β Once approved, all team members can connect
Step 3: Connect your account
Click "Enable" below and sign in with your Monday.com account
Start tracking board items in your OKRs
Access Requirements
You need:
A Monday.com account with access to your organization's boards
At least view permissions for the boards and items you want to track
Boards and items must be visible to you in Monday.com
When you connect, Rhythms requests these Monday.com permissions through the MCP (Model Context Protocol) integration:
Read workspace data - Access your organization's Monday.com boards
Read board structure - View board columns, groups, and items
Read item data - Access item statuses and column values
How to Connect Monday.com
The setup process is covered in detail in How to Set Up Auto-Updates. Here's what's specific to Monday.com:
Guide Rhythms to Your Board
After authentication, the assistant opens a chat window to help locate the right board. Instead of navigating through Monday.com yourself, you describe what you want to track in natural language.
Example conversations:
"Track item completion in the Product Roadmap board"
"Monitor progress in the Marketing Campaigns board based on status column"
"Calculate completion percentage for items in the Development Sprint group"
The assistant searches your accessible Monday.com workspaces and boards to find matches. It confirms what it found and asks clarifying questions if needed (like which group to focus on or which status values count as complete).
Rhythms analyzes your goal's title and description to recommend boards that might be relevant, marked with a sparkle icon. You can select a recommended board or search for any board you have access to.
Choosing Your Tracking Method
Rhythms offers two ways to calculate progress from Monday.com items:
Item Completion (default) Tracks the percentage of items in a done status or marked complete. An item counts as complete when its status column indicates completion based on your board's status labels.
Column-Based Tracking Tracks values from specific numeric or percentage columns. This provides more granular progress tracking when your team uses columns like "Progress %", "Completion Score", or custom numeric fields.
Choose the method that best reflects how your team measures progress in Monday.com.
Optional: Filter by Group, Status, or Person
You can narrow which items count toward progress:
Filter by groups: Track only items in specific groups (for example, "Sprint 1" or "Q1 Goals")
Filter by status: Track only items in specific status states (for example, "Working on it" or "Done")
Filter by people: Track only items assigned to specific team members
If you don't apply filters, progress includes all items in the board.
After You Connect
What Gets Updated Automatically
Once connected, Rhythms syncs with Monday.com daily at 3 AM UTC. The sync updates:
Item completion counts or percentages
Column values (if using column-based tracking)
Progress calculations based on your selected method
Progress history over time
What You Still Provide
Auto-updates handle the numbers, but you still provide context through check-ins. Use check-ins to explain:
Why progress changed or didn't change
Blockers or risks affecting your board
What's coming next
How the numbers relate to your goal
See Effective Check-ins to Track OKR Progress in Rhythms for guidance on combining automated data with meaningful context.
Current Limitations
Monday.com tracking works well for straightforward progress measurement, but has some constraints:
Progress Tracking
Status-based completion is board-specific. Each Monday.com board defines its own status labels. Rhythms analyzes your board's status structure to determine which values indicate completion, but this works best when boards use standard completion patterns (like "Done", "Complete", or "Closed").
All matching items are included. When tracking a board, progress calculations include all items that match your filters. You cannot filter by additional item properties beyond groups, status values, and assignees.
Sync Timing
Updates happen once daily. Rhythms syncs with Monday.com at 3 AM UTC each day. Changes made in Monday.com won't appear in Rhythms immediately. Plan for a delay of up to 24 hours.
Configuration Changes
You cannot edit settings after setup. If you need to change which board you're tracking, which filters you're using, or your tracking method, you must disconnect and reconnect. When you reconnect with new settings, progress history from before disconnection is preserved but there will be a gap during the change.
To test new settings: Set up the new configuration on a different Key Result first to verify it works as expected before disconnecting your active tracking.
What This Means for Your Goals
These limitations don't prevent tracking progress, but they do affect how you structure your approach:
Choose boards that naturally contain the scope you want to track
Use Monday.com's group structure to organize work into trackable segments
Consider manual check-ins when you need more complex filtering or real-time updates
For partial completion tracking, use column-based tracking with percentage columns instead of status-based completion
If these limitations affect your workflow, let us know through the feedback option. We're evaluating enhancements based on user needs.
Adjusting Your Connection
You cannot modify your Monday.com connection settings after setup. If you need to change your board, filters, or tracking method, follow the disconnect-and-reconnect process described in the parent article: How to Set Up Auto-Updates.
Important: Test new configurations on a separate Key Result before disconnecting your active tracking to avoid unexpected results.
Frequently Asked Questions
Can I connect the same Monday.com board to multiple Key Results?
Yes. Multiple people can connect the same board to different Key Results or Initiatives. Each connection is independent and doesn't affect others.
What happens if I lose access to the Monday.com board?
Auto-updates will stop when Rhythms can't access the board data. Reconnect with a board you can access, or switch to manual check-ins.
Can I connect both Monday.com and another tool to the same Key Result?
No. Each Key Result or Initiative can have one auto-update connection at a time.
How often does Rhythms sync with Monday.com?
Once daily at 3 AM UTC. Changes in Monday.com can take up to 24 hours to appear in Rhythms.
What if progress doesn't match what I expected?
First, verify your filters in Monday.com. If you filtered by group, status, or person, make sure the right items are in those groups, have those statuses, or are assigned to those people.
If you're using status-based tracking, verify that items have status values that indicate completion. Rhythms determines completion based on your board's status structure.
If you're using column-based tracking, verify that the column values are populated correctly in Monday.com.
Can I track multiple Monday.com boards in one connection?
No. Each connection tracks a single board. To track multiple boards, set up separate auto-update connections on different Key Results or Initiatives.
Does Rhythms modify items in Monday.com?
No. Rhythms only reads data from Monday.com. It never creates, updates, or deletes items, columns, or board information.
Can I track custom column types beyond numbers and percentages?
Column-based tracking focuses on numeric and percentage columns. Other column types (like status, text, or date) aren't currently used for progress calculations. Status columns work with status-based tracking instead.
Can I track time-based metrics like "Complete all items within 48 hours"?
No. Monday.com tracking focuses on completion counts and column values, not time-based metrics. For deadline-based goals, consider manual check-ins or tracking in tools designed for time metrics.
