Sharing Playbooks with Teammates

Playbooks you build in Rhythms can be shared with teammates so they can use them without needing to build their own. Share a playbook for team-wide consistency, or keep it private when it's still a work in progress.
How Playbook Sharing Works
By default, playbooks you create are private to you. Sharing makes them visible and usable by teammates you choose — either specific people, teams, or the entire workspace.
Shared playbooks appear in teammates' Playbook Library under Shared with me or Workspace Playbooks, depending on how they were shared. Recipients can run the playbook but cannot edit it unless you grant edit access.
Sharing a Playbook
- Open the playbook you want to share
- Click the Share button in the top-right corner (or click ⋯ → Share)
- In the sharing modal:
- Add specific people — type a name or email to add individual teammates
- Share with a team — select a team to share with all team members
- Share with workspace — make the playbook available to everyone in the workspace
- Set permissions: Can view / run or Can edit
- Click Share
Shared users receive a notification that a playbook has been shared with them.
Permission Levels

| Can view / run | Access and run the playbook; cannot edit or delete it |
| Can edit | Make changes to the playbook; cannot change sharing settings |
| Owner | Full control: edit, share, and delete |
Managing Shares
To review or change who has access:
- Open the playbook
- Click Share → Manage access
From here you can: - Change a person or team's permission level - Remove access for specific people - Transfer ownership to another user
Copying a Shared Playbook
If you want to customize a playbook someone shared with you, make a copy first:
- Open the shared playbook
- Click ⋯ → Make a copy
This creates your own private copy that you can edit freely, without affecting the original.
Frequently Asked Questions
Can I share a playbook with people outside my workspace? Playbook sharing is currently limited to members of the same workspace.
If I update a shared playbook, do existing users see the changes? Yes — all users with access to the playbook see the current version. There's no separate "publish" step for updates.
Can I un-share a playbook? Yes — remove access from the Manage access panel at any time. Users who had access will no longer see the playbook in their Library.
What happens to a shared playbook if the owner leaves the workspace? Playbook ownership can be transferred to another admin before the user's account is deactivated.
