Billing and subscription

Rhythms Admins manage the workspace's plan, seats, payment method and invoices at Settings › Workspace › Billing. Billing is self-serve, processed by Stripe, for workspaces created by signing up on the web: seats are counted automatically from your active users (Guests included), and you can upgrade, change the payment method and download invoices yourself. Workspaces set up with the Rhythms sales team are billed under their contract and do not have a Billing page; contact your account team for anything billing-related.

Who sees the Billing page

Billing appears under Settings › Workspace only for Rhythms Admins, and only in workspaces with self-serve billing. Members never see billing details. If you are a Rhythms Admin and Billing is not in your Settings menu, your workspace is billed by contract: reach out to your account team or use the support chat in the app.

What the Billing page shows

  • Current plan — the plan name (for example "Business plan") with a status badge: Active, Trialing, Past due, Canceled, Incomplete, or "Cancels {date}" when a cancellation is scheduled. Below it, the price per user per month (with "billed annually" for yearly plans), a Users count that is the number of seats being billed (click it to open the Users page), and one action button depending on your state: Upgrade now, Manage subscription, Update payment, Reactivate subscription or Subscribe again.
  • All plans — opens the plan comparison page.
  • Usage meters (paid plans) — "Your included usage" for the AI usage allowance included in your plan and, when on-demand usage is switched on or capped, "On-demand usage". Manage limits opens Settings › Workspace › Usage.
  • Upcoming invoice — a preview of the next invoice with each line's description, quantity, unit price and amount, the total, and the date it will be billed. It changes if you add or remove seats before then.
  • Recent invoices — date, status (paid, open) and amount for your last invoices, with a View link that opens the Stripe-hosted invoice where you can download the PDF.

The line "For questions about billing, contact us" opens the in-app support chat.

Plans and the free trial

A workspace created by signing up on the web starts on the Free plan with a 14-day trial of the paid features; the plan card says "14-day free trial" and when it ends you continue on the limited Free plan. Click All plans (or Upgrade now) to open Choose your plan, which compares Free, Business (marked "Most popular") and Enterprise ("Custom" pricing, Talk to Sales). Use the Monthly / Yearly switch to compare prices; yearly billing saves 20%. Prices are shown per user per month.

Choosing Upgrade on a plan takes you to Stripe Checkout with your current seat count filled in. After payment you return to the Billing page and the plan is active immediately. The Enterprise plan adds SSO/SAML, SCIM provisioning, audit logs, data residency options and a dedicated customer success manager; Talk to Sales opens the support chat so the Rhythms team can set it up with you.

How seats are counted

A seat is any active user with a Member, Rhythms Admin or Guest license. Deactivated users, HRIS-only records (people synced from your HR system who cannot sign in) and Rhythms' own bot users are not seats. Rhythms updates the seat quantity on your subscription automatically whenever a user is invited, deactivated, reactivated or changes license, so there is nothing to buy in advance: to add seats, add users; to reduce seats, deactivate users. Changes mid-cycle are prorated on the next invoice, and the Users number on the Billing page always shows the seats currently billed. Guests count in full; see Guest users: read-only access.

Update the payment method, download invoices or cancel

Click Manage subscription (or Update payment if a payment has failed) to open Stripe's secure billing portal. There you can change the card or payment method, see and download past invoices, and cancel the subscription. If you cancel, the plan stays active until the end of the period you have paid for: the plan card shows "Cancels {date}" and offers Reactivate subscription until then. Past invoices are also listed under Recent invoices on the Billing page.

Usage limits

Paid plans include a monthly allowance of AI usage. At Settings › Workspace › Usage a Rhythms Admin can set a workspace spending limit, review usage by person, and choose what happens beyond the included allowance: Pay as you go, or a spend cap. On-demand usage is billed monthly, including on yearly plans. The Billing page's usage meters link there with Manage limits.

If a payment fails or the subscription ends

When a subscription is past due, canceled or was never completed, Rhythms blocks the workspace until billing is fixed and shows everyone a billing notice instead of the app: "Payment Failed" with Update payment, "Subscription Canceled" with Subscribe again, or "Subscription Incomplete" with Choose a plan. Rhythms Admins see those buttons; Members see "Contact your organization administrator to manage billing." Your data is kept and access returns as soon as the payment goes through or a plan is chosen. Stripe retries a failed payment several times and cancels the subscription if it keeps failing.

When to contact sales or support

  • You need SSO, SCIM, audit logs, data residency or a custom agreement: choose Talk to Sales on the plans page.
  • Your workspace has no Billing page: it is billed by contract, so contact your account team.
  • Invoice, tax or receipt questions on a self-serve plan: use contact us on the Billing page or the support chat.
  • You want to try Rhythms: sign up for free from the Rhythms sign-in page; a new workspace starts with the 14-day trial described above.

Frequently asked questions

Is there a free trial? Yes. A workspace created by signing up on the web gets 14 days of trial, then continues on the limited Free plan until you upgrade. Sales-led enterprise pilots are arranged with the Rhythms team.

Do Guests count as seats? Yes. Every active user with a Member, Rhythms Admin or Guest license is a seat.

How do I buy more seats? Just invite the users. Rhythms adjusts the subscription quantity automatically and prorates the difference.

Monthly or yearly? Both are available on Business; yearly saves 20%. On-demand AI usage is still billed monthly on yearly plans.

Can a Member see billing? No. Only Rhythms Admins see the Billing and Usage pages.

Where is my invoice? Under Recent invoices on the Billing page (click View), or in the Stripe billing portal via Manage subscription.

We are an enterprise customer but I cannot find Billing. That is expected: contract-billed workspaces do not use self-serve billing. Contact your account team.
