# Grant access when you @mention someone

When you @mention a teammate or a team in a document, or in a comment on a document, and they cannot see that document, Rhythms shows a message such as **"Alex can't see this document"** with a **Grant view access** button. One click gives them view access without opening the Share dialog. This works in documents and their comments; it does not apply to chat.

## When the prompt appears

The prompt appears only when all of these are true: the person or team you mentioned is already in the workspace, they do not have at least view access to the document, and you have **Can manage** on the document (so you are allowed to share it). If the person already has access there is nothing to grant and no message is shown. If you mention an email address that is not yet a member, you see an **Invite** option in the suggestion list instead; see [Invite teammates via @mention](/workspace-settings-and-administration/team-users-and-access/invite-teammates-by-mention.md).

## Grant access from a mention

1. In the document body or in a comment, type **@** and pick the person or team.
2. Finish the mention (in a comment, post the comment). If they cannot see the document, a message appears at the bottom of the screen for about ten seconds: "Alex can't see this document", or "Alex & Priya can't see this document", or "Alex & 3 others can't see this document".
3. Click **Grant view access**. Rhythms adds everyone named in the message with **Can view** and shows **Access granted**. They receive a notification that the document was shared with them.

To give a higher level, click **Choose access level…** in the same message instead. The document's Share dialog opens with the mentioned people and teams already added at Can view, so you can change the level for each one before saving with **Notify**.

## What the two @mention actions do

| Situation                                                           | What you see                                                                                | Result                                                                  |
| ------------------------------------------------------------------- | ------------------------------------------------------------------------------------------- | ----------------------------------------------------------------------- |
| You mention a workspace member or team that cannot see the document | "… can't see this document" message with **Grant view access** and **Choose access level…** | They are added to this document with Can view (or the level you choose) |
| You mention an email address that is not a member | **Invite** option in the mention list | They are invited to join the workspace |

## Frequently asked questions

**What access does Grant view access give?** Can view on that one document. To grant Can comment, Can edit or Can manage, use **Choose access level…** or open the document's Share dialog.

**Does the person get notified?** Yes. Granting access from the message sends the usual "shared with you" notification.

**The message did not appear. Why?** Either the person already has access, you do not have Can manage on the document, or the mention was in chat rather than in the document or a comment. Ten seconds after the mention the message also disappears on its own; you can still share from the Share dialog.

**Can I remove the access later?** Yes. Open the document's Share dialog and choose **Remove access** next to their name.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://help.rhythms.ai/documents-and-library/grant-access-when-you-mention-someone.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `build a script that syncs our docs to a CMS` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
